Can I include multiple animals on a single invoice?

Yes, the VETECH practice management system supports an unlimited number of patients on an invoice. Patients can be changed on the fly by clicking the pull down list in the patient name field and selecting a different animal. All reminders, recalls, medical history, etc. will be automatically posted to the correct patient. This makes it very quick and easy to handle a transaction for one client and multiple patients. When done entering all the items, all transactions show up on a single invoice grouped by patient.

How can I give discounts "on the fly" when invoicing?

There are a variety of methods to give discounts with the Advantage for Windows system. For automatic discounts, you can assign a discount percentage to a client in the client screen, such as 10%. This client will then get a discount on any item that is setup as discountable. You can apply a discount to any item on the fly by clicking in the discount field. You can either type in the discount percentage or use the up and down keys to increase or decrease the percentage discount.

I have two clinics. Do I need two separate systems?

Not necessarily. The VETECH Advantage system has built in support for up to 9 locations with one computer. High speed modems allow for smooth access for remote clinics. If multiple clinics share the same clients, it may make sense to connect all practices to the same system. With this method, all transactions for each client are centrally located. Reports for all locations can be printed from a central location also, as well as statements and reminders.

If you want to keep multiple practices transactions and reporting separate, and the practices don't share many clients, it may be best to get separate systems. This will simplify the configuration and perhaps be less expensive, depending on your configuration.

What is a network?

A network is a group of computers linked together using special software and hardware that allows multiple users to share information. The Advantage for Windows system comes network ready so multiple users can access client & animal records, invoices, and reports, at the same time! There are several network software and hardware options to choose from. Costs and setup for these different products may vary widely. VETECH recommends Windows XP Professional for smaller peer to peer networks and Windows 2000 server operating system for large networks (over 10 workstations).

Can I put pictures on receipts?

Yes! Advantage for Windows allows you to attach pictures to patients, medical records and even inventory items. Receipts include patient pictures and even pictures of inventory items if they exist. Receipts can also include a picture of your clinic, staff or digitized logo.

Are there any daily or monthly close out or posting processes that I need to do?

No! The Advantage for Windows system has eliminated any daily or monthly processes. Since the Advantage for Windows software a real-time system everything is updated as soon as it's done. You will typically have a daily reconciliation process to balance your cash and deposit information. We also highly recommend performing daily backups. Advantage reports can be printed for any date range at any time, so it's no trouble to get production data from last month or last year at any time.

How does the system handle reminder cards?

Reminders are typically created automatically by the system. Services are designated as "remindable" and reminders are created when the item is added to an invoice. So if an animal gets a vaccination or other service that has a one-year reminder period, the reminder is automatically posted for a date one year from the transaction date. Reminders can also be created easily by a user from the patient card.

Printed reminder cards can use a default format or you can create your own format. In fact reminders can be printed in the form of a letter rather than a card if you choose. Custom reminder formats are created using the reminder document editor. Using this method also allows for just one card to be sent to an owner with multiple animals due for a service.

Can I use my laser printer to print reminder cards?

Yes. The Advantage system supports Hewlett Packard and compatible laser printers for reminder cards. Printing reminders on a laser printer gives the card a much higher quality look, and may simplify the printing process as there is no line-up process necessary. Can I create my own custom reports with the system?

The Advantage for Windows system includes many built-in reports. From daily production reports, client/animal reports, practice statistics, etc. Most reports offer the ability to print for any date range and the ability to print additional detail where applicable.

If you want even more power from your reports, the Advantage for Windows system includes a powerful query language. The query feature allows for almost unlimited reporting capabilities from your system. You actually create the reports from scratch using whatever data and criteria you desire. An example might be selecting all canines over 6 years old that have not been spayed or neutered. This could be easily done with the query option. You can design your report to look any way you want. The report can then be previewed on the screen before you actually print it.

A client wants a copy of a receipt he got six months ago. Can I retrieve it?

Advantage for Windows is a real-time; transaction based system that stores an unlimited number of transactions. This allows for retrieval of historical data at any time. Previous client activity and duplicate receipts are just some examples of the power of this feature. To view or print a duplicate invoice go to the transaction tab on the client card, highlight the desired invoice and click on print.

How can I look up a lost pet?

Animals can be looked up by a number of different methods with just a couple of keystrokes. The animal lookup feature gives you the ability to quickly lookup an animal by name, breed, rabies tag, or ID numbers. To look up patient select window and click on the lookup tab. Type in the lookup information in the appropriate field and click on search. You can search on exact matches, or for everything that begins or contains your lookup information.

I’d like to keep detailed medical records on my patients. How can I do it?

Advantage for Windows has a powerful medical records feature. Medical records are accessed from the client/patient window. You can utilize pre-coded lists and templates for expediting the entry process. You can store multiple images and even enter treatments through the medical records.

Can I group or bundle multiple services under one code?

VETECH pioneered the concept of "bundled codes". Any number of services can be grouped under a single code for speedy data entry. Bundles also ensure that your staff is including all those charges that they often neglect to add. Bundled codes may also be used for creating "canned" estimates.

Bundles are created under the procedures and inventory list. Simply click on the bundle button enter the different services and any quantity and your ready to go.

My backup only took a few seconds today, is this ok?

No! This probably means that you have encountered an error, but the error message just flashed briefly on the screen. Check your backup device (tape or disk) for errors. A typical daily backup takes between 5 and 30 minutes depending on the amount of data and speed of the computer. When performing a backup you should see the progress bar advance all the way across.

How do I change the rabies serum batch number that prints on certificates?

The serum batch number is stored in the inventory for each item. Under Lists/Procedures and Inventory select the desired inventory item. It is located in the lower left corner of the window.

What is the most current version of the VETECH "Advantage" system?

We are constantly improving the Advantage for Windows system so updates are issued frequently. New versions are released on CD generally 2 to 3 times per year. The latest version released on CD is version 25.175. Users that have internet access can elect to receive their updates via e-mail. E-mail recipients receive all interim versions automatically.

Why do I have locked invoices and how do I unlock them?

The Advantage for Windows system uses record locking to prohibit multiple users from accessing an invoice at the same time. This is done to eliminate the possibility of a user closing the invoice while someone else is adding transactions to it. When an invoice is opened the Advantage for Windows system gives that invoice an "in use" status until that user exits the invoice.

Does the Vetech Advantage system support Healthy Pet Magazine's reminder service?

Yes. Advantage for Windows has incorporated an export feature that will output your reminders to a file that is formatted to Healthy Pet specifications. This file can either be mailed or emailed to them.

How can I enter multiple rabies serum lot numbers?

The Advantage for Windows system allows you to enter one lot numbers on any inventory item. If the item is designated to print a rabies certificate it will automatically include the lot number of the item charged.
